How to book an agriturismo direct, without an agency

A working farm with six rooms has no revenue manager and no reason to give a fifth of its price to a booking site. So it does what it has always done: it answers the phone, it answers email, and it writes the dates in a paper book. Nothing about that is difficult for you. It is only unfamiliar, because every habit you have for booking a room was built by a company that takes a commission.

This is the whole procedure, in the order it actually happens. It takes two emails and about a week of patience.

1. Get the name, the email and the phone

This is the hard step, and it is the only one. A stay that takes no online booking is also, usually, a stay with no English website, no reviews in your language, and no presence in any search result you have seen so far. You cannot write to a farm you cannot name.

2. Check the season before the dates

An agriturismo is a farm first. Many close for the winter and reopen around Easter; many close again for weeks after the harvest, because the family that makes your breakfast is picking olives. A stay that is shut in February is not unavailable, it is closed, and no amount of asking will change it.

Where a stay states its season, the entry carries it with the date we read it; where it states none, the entry says so rather than guessing, and the season becomes the first thing to ask. Read that line before you write. If your week falls outside a stated season, move on to the next entry rather than sending an email that cannot be answered yes.

3. Write short, and write in Italian

A long English paragraph is work for someone whose day is outdoors. A short Italian one, with the dates in numbers, is answerable in a minute. You do not need to speak Italian to send it, and it is normal to say so in the last line. Copy this, drop your dates in, and send it as it is.

4. What to ask in that first email

  • The dates, in numbers, and how many people. An email without dates usually gets no answer.
  • The price per night, and whether breakfast is included. Farms quote per room or per person, and the two differ by a lot.
  • Whether they are open at all in that week. Season, not availability, is what ends most of these conversations.
  • Whether there is a minimum stay. Two or three nights is common; in August a week is not unusual.
  • How the deposit works, and how the balance is paid.
  • How to arrive, and whether the last stretch of road needs a normal car or something higher.

5. What usually comes back

A reply in two or three days is normal, and silence for a week is not a refusal — it is a farm in a busy month. If email gets you nothing, telephone in the early evening, or send the same text as a WhatsApp message to the mobile number; many owners read that before they read email. Speak slowly, say the dates in numbers, and ask them to reply by email so you both have it in writing.

Confirmation commonly runs through a deposit — a caparra, often somewhere around a quarter to a third of the stay — paid by bank transfer to an Italian IBAN, with the balance settled on arrival. Some places ask for nothing until you get there. Do not assume either: make the owner state the amount, the account and the balance method in writing, and keep that email. A stay that asks you to pay the full price up front to a personal account, or by a method with no trace, is one to walk away from.

Then write down who you spoke to. In eight months, when you want to go back, that name and that mobile number are the booking.
